About the Opportunity

An opportunity exists for a self-motivated, customer focused individual to provide high level professional support to the Nuclear Science & Technology division of ANSTO.

As the Personal Assistant NST, you will be the first point of contact and will be required to develop and maintain cooperative working relationships and interactions with key stakeholders both internally and externally. You will utilise judgement, to independently assess, prioritise and action matters supporting the Group Executive, Directors, and General Managers. This role is split supporting the Group Executive four days per week and the ACNS Director one day per week.

The ideal applicant will be resilient under pressure, have strong communication, organisation, and problem-solving skills with impeccable multi-tasking abilities and have great attention for detail.

Your Duties and Responsibilities

  • Provide confidential secretarial and administrative support to the Group Executive NST  and the ACNS Director
  • Manage diary for the Group Executive NST in co-ordination with Executive Officer.
  • Coordinate internal and external meeting or other events, including booking rooms, resources, travel, transport, equipment, and catering.
  • Screen and prioritise incoming and outgoing communication for the NST Group Executive and ACNS Director. Draft routine responses and correspondence and monitor follow-up actions.

Skills and Experience

  • Diploma in business administration or equivalent experience.
  • Demonstrated experience providing executive level secretarial and administrative support in a dynamic and complex environment.
  • Demonstrated ability to professionally handle sensitive and confidential information and use appropriate judgement and discretion.
  • Excellent interpersonal and communication skills both written and oral.  Demonstrated ability to clearly convey information and ideas and establish effective interpersonal relationships with a wide variety of people.
  • Strong organisational skills, demonstrated ability to prioritise and manage competing demands and escalate issues when required, organise tasks and meet deadlines
  • Demonstrated ability to work independently and effectively in a team, positively contributing to the team environment.
  • Advanced skills in Microsoft Office, experience using SAP desirable.
  • Experience in procurement and accounts reconciliation.
  • Ability to quickly adapt to technological, structural and procedural changes and maintain professionalism and flexibility.
